Interactive Admission over the Internet (IAI)

IAI stands for Interactive Admission over the Internet. This IAI system extinguishes the disadvantage of applicants living far away from JAIST by use of the Internet.
Applicants' potential talents will be evaluated over the Internet which enables two-way communications between applicants and faculty members without the restriction of distance. As the system can connect JAIST to applicants who live anywhere in the world, overseas applicants can complete application procedures and take an entrance examination at their places.

1. Number of Students Admitted

October 2012 and April 2013 enrollment
 School of Knowledge Science  a few students
 School of Information Science  a few students
 School of Materials Science  a few students

2. Eligibility Requirements

Applicants must meet one of the following requirements:

  • (1) Those who have received a Master’s Degree or a Professional Degree from a Japanese university or will receive by the end of the preceding month of the intended admission month.
  • (2) Those who have received a Degree equivalent to a Master’s Degree or a Professional Degree abroad or will receive by the end of the preceding month of the intended admission month.
  • (3) Those who have received a Degree equivalent to a Master’s Degree or a Professional Degree by completing the correspondence course of an overseas educational institution while residing in Japan or will receive by the end of the preceding month of the intended admission month.
  • (4) Those who have received a Degree equivalent to a Master’s Degree or a Professional Degree at a foreign-affiliated university in Japan that is assessed to have a graduate education course under the school education system of its county,and specifically designated by the Minister of Education, Culture, Sports, Science and Technology or will receive by the end of the preceding month of the intended admission month.
  • (5) Those who have completed the Master’s Degree Programme at United Nations University, and received a Degree equivalent to a Master’s Degree or will receive by the end of the preceding month of the intended admission month.
  • (6) Those who have been recognized as eligible by the Minister of Education, Culture, Sports, Science, and Technology.
    *Eligible applicants must be ones who:
    a ) graduated from a Japanese university, or completed 16 years of school education in a foreign country,
    b ) engaged in at least 2 years of research at a university or research institute after above-mentioned education,
    c ) and have been recognized by JAIST as having equal academic ability as those who have a Master's Degree.
  • (7) Those who have been recognized by JAIST based on individual eligibility screening for the examination as having academic abilities equal to those who have a Master's Degree or Professional Degree, and must reach age 24 or above by the end of the preceding month of the intended admission month.

[Judgement of Eligibility]
Those who wish to apply based on Eligibility Requirements (6) or (7) must be screened by a Judgement of Eligibility prior to application. Applicants should contact the Admissions Section for the details of the necessary documents and submit all the necessary documents for Judgement of Eligibility by the following deadline. Each applicant will be notified of the result of the Judgement of Eligibility before the application deadline.

For actual application, applicants must go through the following Entry Procedures and Preparation, during which time they will be referred to as “candidates”. Upon completion of the above, candidates can become “applicants” and follow “Application Procedures”.


3. Entry Procedures

Please go to the page of Interactive Admission over the Internet (IAI) on the JAIST homepage, and follow the instructions about completing the entry procedures.

  • (1) Entry Procedure
    Enter all the required information in Entry Form for IAI. Check the input data on the confirmation page and click the “Apply” button if everything is correct.
  • (2) Deadlines for Entry Procedure

    April, 2013 September 6, 2012 (until 24:00 Greenwich Mean Time.)
  • (3) Completion of Entry
    Suitable faculty advisors for each student will be announced in a few days after the entry procedure. The preparation period then begins.
    * Prospective students who do not meet eligibility requirements or who do not intend to take the examination may have their application cancelled.

[Interview]
After the entry procedures and before the thesis examination, an interview will be conducted to confirm each candidate’s identity, provide advice on detailed research contents and school life. The interview date and location will be decided after consultation with interviewers.

  •  * In the case that the candidate is found that he/she is not the same person, the permission to enroll in JAIST may be revoked even after his/her enrollment.
  •  * For overseas candidate, a faculty member will confirm his/her identity by confirming identification materials and will not conduct face-to-face interview in Japan.

4. Preparation Period

The period after the entry procedures and before the completion of application procedures is set to prepare for the examination. In this period, candidates can communicate with faculty members on the internet.
This communication is to provide detailed information on JAIST’s research contents, course contents and so on. Faculty members will also ask candidates their interests and wishes in order to introduce the appropriate laboratories.
Candidates who have completed this communication can take the application procedures.


5. Application Procedures

  • (1)  Application Procedures
    When entering the necessary information into the Application Form, please make sure that all required documents are enclosed in an envelope and send the materials by registered express mail to JAIST.
    Only the applicants who have completed the above mentioned communication with faculty members will be informed of how to access the Application Form.

6. Application Documents

  • (1) Application documents that all applicants should submit
    1 Transcript
    *Copy is invalid.
    Must be official documents acknowledged by the dean or president of the university from which you graduated. Those who graduated from a foreign university should submit the official documents in English.
    2 Certificate of Completion of Master's Program or Certificate of Expected Completion (if an applicant expects to complete the master's program before his/her entrance to JAIST)
    *Copy is invalid.
    3 Research Outline Input the information into Application Form.
    You should summarize the research you have worked on and the research plan you want to work on at JAIST. (Those who are expected to complete the master’s program may input the summary of the master’s thesis.)
    If you have any articles or publications, those copies should be also attached.
    4 Thesis Paper One photocopy of the master’s thesis (Only for those who have completed the master’s program).
    If the thesis is written in neither Japanese nor English, attach the table of contents and the summary in English in about ten pages on A4-sized paper with a copy of the thesis paper.
    5 Proof of English Language Proficiency You must submit a copy of one of the following score reports. The score must not be more than two years old as of the application deadline.

    6 Certificate of Screening Fee Payment <For residents in Japan>
    Please pay the screening fee JPY 30,000 through a bank (telegraphic) transfer.
    1.  1. Fill out the university-specified form and take it to a bank counter (except the Japan Post Bank).
    2.  2. After paying the fee, the applicant should make sure that the seal/stamp of the bank is on the remittance stub (Certificate of Screening Fee Payment).
    3.  3. Attach the Certificate of Screening Fee Payment to the application form.

    <For residents overseas>
    Applicants must pay the screening fee JPY 30,000 to the following Bank Account by international telegraphic transfer and submit a document that certifies your payment. All the charges to transfer shall be paid by the remitter.

    NOTE: Please make sure to arrange the corresponding bank fees as "charged to the remitter". If it is arranged as "charged to the beneficiary" by error, the corresponding bank will deduct the fees from the amount of remittance and the amount of payment to JAIST will be insufficient.
    <Government-sponsored foreign students>
    No entrance examination fee is necessary.

    7 One Photograph 4cm in length×3cm in width, facing the camera, with no hat, taken within 3 months prior to application.
    *Applicants under Eligibility Requirements (6) and (7), do not need to resubmit the documents which were submitted at the time of Judgement of Eligibility.

  • (2) Application document to be submitted if applicable.

    8 Degree Certificate or Expected Degree Certificate
    *Copy is invalid.
    The certificate should be issued by the dean or president of the university from which you graduated or you will graduate. It should be written in English.
    b) Overseas Residents

    Identification Card You must submit a copy of some form of Identification. It must be written in English and identify the applicant. If you are not able to submit it in English, please attach an English translation or Japanese translation with official seal.

    Reference Letter (Free format)
    Referees can be professors, academic advisors, faculty or supervisor with whom the applicants have worked closely.
    c) Japanese Government (MEXT) Scholarship Students

    *Copy is invalid.
    The certificate must be issued by the university which applicants are currently attending.

7. Selection Schedule and Method

  • (1) Selection Period
    During the following thesis examination period, applicants must answer questions regarding their thesis posted by a faculty member. Applicants must send only the matters related to the advisor's questions.

    April, 2013 December 7, 2012 through December 21, 2012
  • (2)  Admissions Decision
    We will determine the successful applicants according to the following credentials.
    a) Examination and questions and answers on the web page concerning master's thesis and/or research
    outline.
    b) Transcript
    c) Proof of English language proficiency

8. Announcement of Results and Entrance Procedures

  • (1) Results Announcement Date and Period of Entrance Procedures
    All applicants will be notified of the results through a mail on the date of results announcement. Inquiries about the results by telephone and requests for telegraphing will not be accepted.

  • (2) Expenses Required at Entrance (amount as of 2012)
     Entrance fee: \282,000
     Tuition fee:  \267,900 (for half-year term)
    * Both the entrance fee and the tuition fee are current rates, subject to revision.
    * The entrance fee paid to JAIST is non-refundable.
    * If the tuition fee is revised during your enrollment at JAIST, the new tuition fee system shall apply upon the revision.

9. JAIST Scholarship

JAIST offers the JAIST Scholarship to doctoral program candidates from overseas who have passed the IAI with excellent results. The IAI entry and application procedures are different from the JAIST Scholarship application procedure. For the detailed information of IAI, please refer to the Guide to Admission for Doctoral Programs.
(1) Scholarship

a. Monthly stipend: 70,000 yen
b. Airfare: Up to 100,000 yen each for airfare to and from JAIST.
c. Settling-in allowance:
The amount of the settling-in allowance is equivalent to the total of the entrance fee and the tuition for the second semester of the first year.


(2) Duration of Scholarship
The grantee will receive the JAIST Scholarship while he/she is enrolled in the doctoral programs at JAIST as a regular student. The maximum duration of the scholarship is 3 years.

(4) Eligibility   
Applicants must meet all of the following conditions:

a. Those who do not have Japanese nationality.
b. Those who are successful in IAI with excellent results, and who intend to enter JAIST in October 2012.
c. Those who are not residents in Japan at the time of application for the JAIST Scholarship, and will come to Japan to start their doctoral programs at JAIST after passing the IAI.
d. Those who are not assured to receive any scholarships for financial aid from other institutions or organizations before entering JAIST.


(5) Application Procedure
Applicants must send an e-mail to the International Student Section, Student Affairs Department (ryugaku@jaist.ac.jp) by the deadline(June 26, 2012).
The e-mail must state clearly that the applicant wishes to apply for the JAIST Scholarship and also include the following information. International Student Section will subsequently send the JAIST Scholarship application form by e-mail.

a. Applicant's name
b. Applicant's e-mail address
c. Desired school of JAIST
d. Desired supervisor of JAIST


(6)Application Deadline
July 10, 2012

(7)Screening Results
The result of screening for the JAIST Scholarship will be announced to each applicant via e-mail at the beginning of August 2012.
