JAIST International Seminar House

JAIST International Seminar House is established on April 1, 2021 as an accommodation facility for visitors whose purpose is to develop educational research and enhance international exchange with JAIST. This facility is devided into two segments of short-term use and medium-term use, and booking application for both segments are available from three months before the date of use. The application should be done through JAIST faculty or administrative staffs.

Eligible User

This facility is available to visitors to JAIST for research purposes who fall into one of the following categories:

  1. Researchers invited from home and abroad, and their spouses and children.
  2. Participants in an event held on JAIST such as a seminar or a workshop, and their spouses and children.
  3. Other appropriate persons who are permitted by the President to stay for the purpose of engaging in assignments related to the enhancement of international exchange or educational reearch at JAIST, and their spouses and children.

※Only those who do NOT have a JAIST status (faculty, administrative staff, students, researchers, etc.) are eligible to use this facility.

※The Main Building (for short-term use) is available for a maximum of 29 nights and 30 days. No longer stays are allowed.
Annex (for medium-term use) is for those who plan to stay for more than 31 days but less than 4 months.

※1 If more than a half of rooms for the short-term use are vacant, booking application for more than 7 nights are acceptable. In this case, the maximum period of stay is within successive 29 nights and 30 days.
※2 The extension of the use of Annex will be permitted only if more than a half of rooms there are vacant at the time of the remaining period of stay is less than one month.
※3 The fee is 2,000yen/month for a family household and 1,800yen/month for a single household. Users need to pay the fee and the room charge separately.

Check-in operation is out of service on Saturday, Sunday, national holidays and JAIST anniversary of foundation (October 1) as well as on the closure dates mentioned below.

※ No washing machines are installed in the single rooms, but a shared laundry is available free of charge.

※ Quad rooms can accommodate up to 4 people using 2 permanently installed single beds plus additionally 2 sets of futon on tatami floor.
Normally, one bed is set up for a single guest, two beds for 2 guests, and two beds plus futon set(s) for 3 or 4 guests.
If you would like other arrangements, please let your host faculty/staff know in advance.
(e.g., single occupancy, but would like to sleep on a futon, etc.)

Common Laundry Room

For single-room occupants, there is a free washing machine and dryer provided for use.
Please bring your own laundry detergent, etc.

※ Bedding (sheets, pillows, quilts, etc.) other than mattresses are not provided for the beds in the rooms for medium-term use. Guests are requested to bring, purchase, or rent their own bedding supplies.

Closure Date

The closure dates are as follows.
The Main Building (for short-term use) cannot be used during these days. The Annex (for medium-term use) can be used.

  1. From December 28 to January 3
  2. During JAIST annual summer holidays
  3. On the inspection dates for electric facilities or other facilities

Booking Application

Reservations can be made 3 months prior to the scheduled start date of use. Applications should be submitted by JAIST staff.
The deadline for applications is 7 days for the Main Building (for short-term use) and 2 weeks for the Annex (for middle-term use).
Please note that we cannot accept reservations for the Main Building starting on the closing days and other JAIST holidays.

~Attention to JAIST staffs~
If the guest needs assistance while staying at the Seminar House, the person who submitted the booking application will be contacted, and the applicant will be asked to respond to the request.

・Guidance to supermarkets and public facilities
・Procedures for kindergartens or schools for children
and so on

Cancellation & Rebooking

Main Building (for short-term use)

Cancellations and changes to reservations should be notified by the business day prior to the scheduled start date of the use.

Annex (for middle-term use)

Cancellations should be notified by the business day prior to the scheduled start of the use.
Reservation changes should be informed at least 5 business days prior to the scheduled start of the use, in order for us to process the change in the usage permit.
Please note that if the notification is received after the deadline, the change will not be processed in time, and the accommodation fee may be charged from the day of the scheduled start of the use.

Check-In & Check-Out

When checking in, please be accompanied by a caretaker (a host faculty member of JAIST or a laboratory staff) who can communicate in Japanese.

※ If you have no choice but to check in after business hours, please be sure to contact the Seminar House Admin (seminar_house@ml.jaist.ac.jp) in advance.
(If you arrive outside of the check-in hours without contacting us, you will not be able to enter your room, because the manager here will be not available)

Check-Out Hours

From 9:30 a.m. to 10:00 a.m.
If checking out after check-out hours, or on the closing days, please drop your room key into the dedicated box for returning keys.

Annex (for middle-term use)

※ If checking in out of above hours, or on the closing days, the applicant for the reservation on behalf of the guest should complete the check-in procedures during the check-in hours on the previous business day.

From 10:30 am. to 12:00 p.m. / 13:00 p.m. to 16:30 p.m.
(except for Saturday, Sunday, national holidays, JAIST anniversary of foundation (October 1), and other closing days)

If checking out of the above hours, or on the closing days, the applicant on behalf of the guest should complete the check-out procedures during business hours on the next business day.

Payment

Monthly invoices will be issued to Annex guests according to the number of days occupied. Please make payment in cash or by bank transfer to the Accounting Section by the designated deadline.
In the case of bank transfer, the transfer fee is to be borne by the guests.
We do not accept payment by account transfer, overseas remittance, or credit card.
Please note that the fees already paid will not be refunded.

Notice

The guests and their family members must make efforts to maintain the facilities, equipment, and fixtures they use, and comply with the following items.

  1. The room is NOT to be rented, in whole or in part, to anyone other than the applicant and family members who have been granted permission to use the room.
  2. The room is NOT to be used for any purpose other than staying or living.
  3. Do NOT make any renovations to the facility.
  4. Take care to prevent fires and other disasters, and strive to maintain a comfortable environment.

※ Smoking is NOT permitted in JAIST, including inside the Seminar House.

※ If you have a fever or become sick while staying in the Seminar House, do NOT go outside, but contact us promptly by e-mail or other means at the following address.
  There are no madications in the Seminar House, so we recommend that you bring your usual cold medicines, fever reducers and other medications with you, just in case.
