JAIST International Seminar House is established on April 1, 2021 as an accommodation facility for visitors whose purpose is to develop educational research and enhance international exchange with JAIST. This facility is devided into two segments of short-term use and medium-term use, and booking application for both segments are available from three months before the date of use. The application should be done through JAIST faculty or administrative staffs.

Eligible User

  1. Researchers invited from home and abroad, and their family.
  2. Participants in an event held on JAIST such as a seminar or a workshop, and their family.
  3. Other appropriate persons who are permitted by the President to stay for the purpose of engaging in assignments related to the enhancement of international exchange or educational reearch at JAIST, and their family.

※ "Family" refers to a spouse and a child.

~Attention to Users~
We may reject the use of the facility when we observe a user's helth condition on check-in and the user is in doubt of being infected by COVID-19. Please put a mask when you enter the building of JAIST International Seminar House and allow as to check your health condition at the Front Desk.

Segments and Room Charge

※1 If more than a half of rooms for the short-term use are vacant, booking application for more than 7 nights are acceptable. In this case, the maxixum period of stay is within successive 29 nights and 30 days.
※2 For the precaution of the spread of COVID-19 disease, the quad rooms are limited to single-use or family-use only for a while.
※3 The extension will be permitted only if more than a half of rooms for the medium-term use are vacant at the point the user's remaining period is less than one month.
※4 The fee is 2,000yen/month for a family household and 1,800yen/month for a single household. Users need to pay the fee and the room charge separately.

※ A quad room is furnished with two single bed and two Japanese-style Futon sets so that maximiumly four persons are able to stay in at the same time.

Common Laundry Room

Washing machines and dryers are installed in the common laundry room for single-room users. Those are free of charge. Users need to prepare a detergent by themselves.

Rental Blanket

We will introduce a user a rental agency for blankets if need be. The rental fee is 800yen per piece and payment should be done directly from the user to the rental agency.

Closure Date

The segment of the short-tem use is completely closed on the closure date while the segment of the medium-tem use is available for use.

  1. From December 28 to January 3 next year
  2. During JAIST annual summer holidays
  3. On the inspection dates for electric facilities or other facilities

※ Check-in operation is out of service on Saturday, Sunday, national holidays and JAIST anniversary of foundation (October 1) as well as on the closure dates mentioned above.

Booking Application

Booking application is available from three months before the date of use. Please apply through JAIST faculty or administrative staffs.
The deadline of the application is set on seven days before the date of use for the short-term use, and two weeks before the date of use for the medium-tem use.
For the shor-term use, we will not accept for the application which check-in date is set on the closure dates or Saturday, Sunday, national holidays and JAIST anniversary of foundation (October 1).

~Attention to JAIST faculty and administrative staffs~
When a user needs supports while staying in JAIST International Seminar House, we will contact an applicant, who is the one booked a guestroom for the user and is regarded as a guarantor of the user. We wil ask the applicant to take care of the user.

(Example) When a user needs supports for life in Japan ・Give a guidance how to use JAIST shuttle bus.
・Give an aid if the user need an interpretator because he/she does not understand Japanese.
・Give a guidance when the user does not know how to visit a supermarket or public facilities.
・Give an aid if the user need to do a day-care or school admission for a child. etc...
When problems are emerging ・Respond to the event of a complaint regarding noise from the guestroom of the user.
・Give a guidance when the user does not follow garbage rules. etc..

Cancellation & Rebooking

Segment of the the Short-Term Use

For cancellation or the change of booking, please inform us by the last business day before the original date of use.

Segment of the Medium-Term Use

For cancellation, please inform us by the last business day before the original date of use.
For the change of booking, we will do a procedure to reissue a revised permission. Please inform us by five business days before the original date of use.
Please note that, if an applicant informed us the change of booking after the appointed date, the room charge may be charged on a user from the first date of the original date of use.

Check-In & Check-Out

We will measure users' body temperature and ask their health conditions when they check in. All users will be requested to submit a pledge that subjects to prevent the spread of COVID-19. Please download the form and fill out before the check-in.

Time for Check-In

From 3pm to 5:30pm except for the closure dates, Saturday, Sunday, national holidays and JAIST anniversary of foundation (October 1).

Time for Check-Out

From 9am to 10am except for the closure dates, Saturday, Sunday, national holidays and JAIST anniversary of foundation (October 1).
If a user departs out of the check-out time, put a room key into a return box beside of the office of the Front Desk.

Check-In Counter

Time for Check-In

From 9am to noon and from 1pm to 3pm except for the closure dates, Saturday, Sunday, national holidays and JAIST anniversary of foundation (October 1).
If a user starts to use a room from a closure date or out of the check-in time, an applicant will be requested to come to the check-in counter on behalf of the user the last business day before the date of use.

Time for Check-Out

From 9am to noon and from 1pm to 3pm except for the closure dates, Saturday, Sunday, national holidays and JAIST anniversary of foundation (October 1).
If a user departs on a closure date or out of the check-out time, we will request an appliacnt to come to the counter for check-out the next business day after the departure on behalf of the user .

Payment

We will issue a monthly invoice to a medium-term user only. Please make payment by a deadline on each month at the Accounting Section by cash or bank transfer. In case of the bank transfer, tranfer fee should be covered by the user. Account transfer payment、overseas remittance or payment by a credit card are not acceptable. Please note that we are not able to pay back once the payment has been done.

Notice

Users and their family shall attempt to preserve the facilities and equipment, and observe the following subjects.

  1. Do not lend others a whole or a part of a guestroom.
  2. Do not use a guestroom for any other purpose except for lodgement.
  3. Do not make others lodge in a guest room except for persons permitted as family of a user.
  4. Do not remodel the facilities and equipment installed.
  5. Keep in mind of the prevention of fire or any other accidents and attemp to retain comfortable environment for all users.

※ Smoking is prohibited on JAIST campus including JAIST International Seminar House.
