About Modify User Account

When moving to a new course such as doctoral course at JAIST, the user account can be modified based on the new student ID.

In this case, please follow the suitable steps from the below.

Email Address Alias

If you have previously used email alias, you can continue to use your old email address with your new user account. If you don't want to continue to use the old email alias, no need for this step. In addition, please note that your old email alias assigned to the old student ID (sXXXXXXX@jaist.ac.jp) can not be reassigned directly to the new user account.

Migrate Data/Files

The data and files which have been used in the JAIST cloud desktop as well as the file storage can be moved to the new user account.

Migrate Email Messages

The email messages in the mailbox of the old user account can be migrated in the new one's.

Export Email Messages in a Batch

The email messages in the mailbox of the old user account can be migrated in a batch as a compressed file.

When you get new JAIST account

If you receive a new JAIST account for reasons such as entering a doctoral program and want to transfer your data, please follow the steps below to update your JAIST email address linked to Overleaf.

  1. Log in to Overleaf with your old account
    * If your old JAIST account is active, you can access with JAIST-SSO authentication.
  2. Click [Account] -> [Account Settings].
  3. Click [Add another email] , and enter a non-JAIST email address and add by [Add new email].
  4. Click the [Confirm Email] link in the Confirm Email that you receive to your added non-JAIST email address.
  5. Back in Overleaf's Account Settings screen, and click the [Make Primary] button to the right of the email address you have added.
  6. Click the trash can icon to the right of the old JAIST email address and delete it.
  7. Enter your new JAIST email address from [Add another email] and click [Link Account and Add Email].
  8. On the JAIST-SSO screen, authenticate with a new account.
  9. Back in Overleaf's Account Settings screen, Click the [Make Primary] button on the right side.

* If you changed your JAIST e-mail address
Even if you have changed your email address from the student ID number-based email address and want to use the same email address as your old account in your new account, please perform the above operation to transfer your data. (Even if the "old JAIST email address" and the "new JAIST email address" are the same, you can update your JAIST account linked to Overleaf by deleting and re-registering once.)

When you get new JAIST account

If you receive a new JAIST account for reasons such as entering a doctoral program, please follow the steps.

  • When you use the registered email address in the old account to the new account

    Please replace your email address as soon as possible before any limits of your old account.
    If you can not log in with your old account already, please contact RCACI.
    ※You can not take over and use "s + your student number@jaist.ac.jp" of your old account.
  1. Login to GakuNin RDM with your old account.
  2. Input another email address except "jaist.ac.jp" at [Settings] - [Account settings] and push [Add email].
  3. Check a confirmation email is sent to the added email address.
    After that, click a link in the confirmation email and confirm that it was registered as the Alternate Emails.
  4. Click "make primary" next to the alternate email address.
    Confirm that it was changed email address the Primary Email.
  5. Click the "X" next to the email address of  ”jaist.ac.jp” domain.
    Confirm that the email address of "jaist.ac.jp" is removed from the old account.
  6. Login to GakuNin RDM with your new account.
  7. Confirm Primary Email at [Settings] - [Account settings].
    If the Primary Email was different your registered email address, follow steps from 2 to 4 replace the Primary Email.

    Also, please ask the project administrator to change the member (delete the old account and add the new account) due to the new account can access the project area where was registered as a member for the old account.
