About Activation and Use of Box AI

Box AI has been activated for some users effective July 16, 2025.
Box AI is expected to be helpful in various tasks such as summarizing documents and drafting text.
Please review the following guidelines carefully and use the tool responsibly.

What is Box AI?

Box AI is a generative AI feature built into the online storage service "Box."
It can perform tasks such as summarizing, answering questions, and translating stored documents and images.
All processing takes place within Box's secure infrastructure, ensuring your inputs and prompts are not shared with others.
Box AI uses external generative AI models (like ChatGPT) at its core. However, because Box handles all processing, the system is built with security in mind and can be used in everyday work with proper care.

 

  • Box AI for Document
    You can use it to summarize or translate contents of certain types of files uploaded to Box (such as Word documents, PDFs, slides, images).

  • Box AI for Notes 
    Available within Box Notes for drafting emails, organizing content, brainstorming ideas, etc.

 

 

Important Notes on Usage

About Generative AI

  • Generative AI may present incorrect information as correct. Always verify the accuracy of the content.
  • Because AI outputs are based on training data, they may reflect biases or subjective values.
  • Please ensure that the generated content is ethically sound and does not infringe on third-party rights.

 

When Using for Business Purposes

  • Users are responsible for how they use the generated data.
  • When using AI output in business documents or similar materials, always review and revise the content before use.
  • Discuss within your department what kinds of usage are appropriate, establish rules accordingly, and operate under those guidelines.
  • Please note that the continued use of Box is not guaranteed and may be affected by future IT infrastructure implementation policies.

 

Prohibited Uses

Box prohibits using Box AI for high-risk decision-making.
Some examples of prohibited uses are listed below; however, please be sure to read the full “Box AI: Acceptable Use Policy & Guiding Principles“ linked later for details.

  • Evaluation, analysis, or judgment related to education (e.g., admission decisions, grading reports or exams)
  • Evaluation, analysis, or judgment related to human resources (e.g., hiring decisions, performance evaluations)
  • Evaluation, analysis, or judgment related to health and medical matters
  • Analysis or judgment concerning laws and regulations
